Restaurant POS cost in India has three parts: software (free plans to ₹15,000+ per outlet per year, plus GST), hardware (₹29,000–43,000 for a billing counter, ₹46,000–62,000 with kitchen printers) and running costs (payments, add-ons, messaging). Over three years, a single-outlet dine-in restaurant typically spends ₹1.2–1.6 lakh in total, or about ₹3,400–4,500 a month.
POS quotes are hard to compare because every vendor bundles costs differently. One quotes a low monthly fee and charges for modules; another quotes a yearly price that includes them. This guide breaks down every cost so you can compare honestly. For how a POS works and what to look for, start with our restaurant POS system guide.

POS software pricing models in India
Vendors price their software in very different ways. Examples below are list prices published on vendor websites on 10 October 2026, excluding GST unless stated; features differ between plans, so they aren't like-for-like.
| Model | How it works | Examples |
|---|---|---|
| Free plan | Free for a single app or below a turnover limit, with paid upgrades for more features. | Zoho POS (free up to ₹12 lakh billing a year), Odoo (POS as your only app) |
| Per outlet per year | One yearly price per outlet, often in tiers. | F&Bos (₹6,000 Basic, ₹15,000 Pro) |
| Per location per month | A monthly price per outlet, cheaper when billed annually. | Zoho POS paid plans (from ₹499 a month billed annually), eZee Optimus (₹4,500 a month, paid yearly) |
| Per user per month | You pay for every staff login that uses the system. | Odoo Standard (Rs 580–725 per user per month, yearly billing) |
| Base plan plus bundles | A base price, with key modules sold in separate bundles. | Petpooja (Base ₹12,000; bundles ₹20,000–40,000) |
| Quote only | Pricing depends on modules, outlets and hardware. | Restroworks, DotPe, LimeTray |
| One-time licence plus renewal | A larger upfront licence, then a yearly renewal or AMC. | Offered by some vendors, such as Gofrugal, for on-premise setups |

Hidden charges to check in every quote
- Setup and training fees, and whether training for new staff later is also charged.
- Modules sold separately: inventory, kitchen display, captain app, CRM, loyalty, payroll, online ordering, multi-outlet.
- Integration fees: some aggregator, accounting or payment integrations need a separate subscription.
- Messaging credits: SMS and WhatsApp bills or campaigns are often charged per message.
- E-invoice credits if you need GST e-invoicing.
- Per-user or per-terminal limits that raise the price as your team grows.
- Renewal price: ask what year two costs, not just year one.
- Hardware lock-in: proprietary devices you can't replace from any dealer.
- Data export: whether you can take your sales and customer history with you, free.
- GST: whether each figure includes 18% GST.
"No monthly fee" and "no upfront cost": what they really mean
No monthly fee usually means the software is billed once a year, or that a free plan has limits on outlets, turnover or features. It doesn't mean the POS is free; compare the yearly total. For genuinely free options and their limits, see our guide to free restaurant POS software in India.
No upfront cost usually means there's no large licence fee and setup can be done yourself. You can also rent payment terminals and start on a phone or tablet you already own. Printers and other hardware remain a one-time purchase.
1-year and 3-year cost: two worked examples
Here's what two typical outlets spend using F&Bos pricing and the typical hardware prices from our machine price guide. Card transaction fees and consumables are excluded, because they depend on your sales.
Example 1: café or small counter
| Cost | Year 1 | 3 years |
|---|---|---|
| Hardware: Android tablet, 80 mm printer, cash drawer (incl. 18% GST) | ₹33,984–46,610 | ₹33,984–46,610 |
| F&Bos Basic, ₹6,000 + GST per year | ₹7,080 | ₹21,240 |
| Setup | ₹0 (self-setup) | ₹0 |
| UPI sound box, ₹25–150 a month | ₹300–1,800 | ₹900–5,400 |
| Total | ₹41,364–55,490 | ₹56,124–73,250 |
| Per month over 3 years | ₹1,559–2,035 |
Example 2: dine-in restaurant with two kitchen printers
| Cost | Year 1 | 3 years |
|---|---|---|
| Hardware: Android all-in-one, 2 LAN KOT printers, cash drawer (incl. 18% GST) | ₹54,457–73,514 | ₹54,457–73,514 |
| F&Bos Pro, ₹15,000 + GST per year | ₹17,700 | ₹53,100 |
| Assisted setup, ₹3,000 + GST | ₹3,540 | ₹3,540 |
| Card machine ₹325–700 a month + UPI sound box ₹25–150 a month | ₹4,200–10,200 | ₹12,600–30,600 |
| Total | ₹79,897–1,04,954 | ₹1,23,697–1,60,754 |
| Per month over 3 years | ₹3,436–4,465 |
Hardware figures add 18% GST to typical dealer prices seen on 10 October 2026. Payment rental ranges come from published PhonePe, Paytm and Razorpay pricing and bank schedules. If you already own a tablet or phone, hardware cost falls sharply.
The pattern is the same for any vendor: hardware dominates year one; software dominates years two and three. A cheap first year with expensive renewals or add-ons can cost more over three years than a higher, all-inclusive price.
How to compare POS quotes
- List the features you need and confirm which plan includes each one.
- Ask every vendor for a 3-year quote for your number of outlets, users and terminals.
- Add hardware, reusing what you already own where the software supports it.
- Add running costs: payments, messaging, integrations.
- Add 18% GST to every figure that excludes it.
- Divide by 36 to get a monthly cost you can compare with the value the POS brings: faster billing, lower food cost and fewer leaks.
Frequently asked questions
How much does a restaurant POS cost in India?
Software ranges from free plans to around ₹15,000 or more per outlet per year, plus 18% GST, with enterprise platforms priced by quote. Hardware typically costs ₹29,000–43,000 for a single billing counter and ₹46,000–62,000 for a dine-in setup with two kitchen printers, mostly before GST. Over three years, a single-outlet restaurant typically spends ₹1.2–1.6 lakh in total, or about ₹3,400–4,500 a month.
Is there a restaurant POS with no monthly fee?
Yes. Some POS systems are billed once a year per outlet instead of monthly, and a few offer free plans with limits on outlets, turnover or features. "No monthly fee" doesn't mean free: compare the yearly price, add-ons and renewal terms.
Can I get a restaurant POS with no upfront cost?
Partly. Cloud POS software usually has no large upfront licence, self-setup can be free, and payment terminals can be rented. You can also start on a phone or tablet you already own. Printers and other hardware are still a one-time cost.
What hidden charges should I look for in a POS quote?
Check for setup and training fees, modules sold as add-ons, per-integration fees for aggregators or accounting, SMS and WhatsApp credits, e-invoice credits, hardware tied to one vendor, renewal price increases, data export fees, and whether GST is included.
Is a one-time licence cheaper than a subscription?
Not always. A one-time licence has a higher upfront cost and usually a yearly renewal or AMC for updates and support. Compare the total over three to five years, and remember that cloud subscriptions usually include updates, backups and remote access.
